Email Migration / Login Issues
As noted in earlier college-wide updates - we are moving email accounts to the cloud as quickly as we can. If you are receiving this email, your account is one of the few that we are in the process of moving over to Microsoft’s hosted Exchange environment.
What does this mean for you? There will be no difference in the way you access emails from your work computer or mobile phone. You will continue to use Outlook 2016 (on PC) or your favorite email app (on mobile devices) to access your emails. Some rules that you have set up may not work and will have to be recreated. This is due to some options that are not available any longer. Also, if you have an “Out-of-Office" message setup it will have to be set up again as this cannot be migrated over. What do you need to do? When the migration is complete you may be prompted to reenter your credentials (username@neosho.edu) and password (same as the old one) to access your emails. The big change here is the way Duo Multi-Factor works with our new email setup. You will be prompted to enter your email twice, and this is quite normal. Following this, you will get the Duo prompt on your phone. Your device will be marked safe for 30 days, and no further Duo authentication is required unless you change your password. After 30 days, you will have to reenter the username and password and reconnect.
What about Outlook Web App? Since the emails are going to be housed in Microsoft 365, the current OWA app will no longer work for you. There are two ways to get to the new cloud-based emails. You can navigate to https://www.office.com/ Click on the “Sign in” button in the middle of the screen (or top right corner). Enter your college email address. Now, with the Duo MFA - you’ll have to enter your email again, then the password and wait for the push on your mobile device.
Once this is complete, you’ll be able to select the “Outlook” button on the left side and check your emails.
Alternatively – you can click on this link https://outlook.office.com/mail/ . You will have to enter your credentials, but once done, you’ll go straight to your mailbox.
What about emails on a mobile device? The existing account on your mobile devices will need to be updated. While we recommend you use the Outlook App – on both Apple and Android devices – for the best user experience. The native Apple Mail app will work and some users prefer to use this. Regardless of your choice, you will have to delete the existing Neosho account from your phone before adding the new cloud-based account. Please see attached document.
The migration process has begun and we are keeping a close eye on it. There is no timeline for completion; as this varies largely by the size of the mailbox and other factors like bandwidth.
